St. Joseph’s College (SJC) at the University of Alberta (UofA) has an exciting opportunity for a Recruitment and Admissions Officer. This is a new 1.0 FTE position (35 hours/week) and provides a competitive salary, excellent benefits, and an employer-contributed pension. The role is primarily on-site and involves travel (particularly during Fall and Spring recruitment cycles) across Alberta and especially in the Edmonton area, with some flexibility for remote work.

About the Opportunity

Reporting to the Vice-President (Academic) and Dean (VPAD), this team member will primarily support the launch of a new Diploma in Liberal Arts in Fall 2027, while engaging in the broader recruitment activities of the whole College. The successful candidate will play a pivotal role in implementing recruitment strategies and developing admissions procedures for the Program.

The new Diploma in Liberal Arts is a 2-year, 60-credit Program that introduces students to the humanities and the natural and social sciences, with guaranteed pathways to complete a Bachelor of Arts at the UofA, MacEwan University, and other Alberta post-secondaries in a total of 4 years. Rooted in a Catholic approach to the Liberal Arts, the program fosters students’ ability to discern for themselves how to be human in a complex world and provides foundational training for any future path – from the trades to further post-secondary and professional studies.

The Role

As the primary point of contact for prospective students, the Recruitment and Admissions Officer will be a persuasive, compelling, and passionate advocate for the Diploma program, building relationships with prospective students, parents, high school counsellors and principals, local church groups, and others. This will require a thoroughgoing understanding of the Program, SJC, SJC’s context at the UofA, and the ability to articulate how the Program will benefit students and enable them to contribute better to the common good. The successful candidate will advise prospective applicants on admissions requirements, tuition and fees, future educational pathways, and track prospective students via our Client Relations Management (CRM) system. While the role is fundamentally oriented toward the Diploma Program, the individual will also persuasively represent the whole of the College (e.g., SJC’s UofA Affiliate courses and programs, Residences, Campus Ministry) to various groups.

The successful candidate will assist applicants through the application process, create and manage online applications for admission, prepare application files for review (e.g., determine eligibility for admission), communicate admissions decisions to applicants, and identify and implement improvements and efficiencies in the admissions process. This will require the ability to work effectively with our Student Information System (SIS) software.

The successful candidate is a skilled professional with recruitment, admissions, outreach and/or marketing experience whose track record demonstrates excellent written and verbal communication skills; judgement and discretion; ability to work on multiple assignments; ability to quickly shift priorities; solution-focused and detail-oriented approach to tasks; ability to work independently or collaboratively as the situation dictates. The individual also demonstrates a concern for program success and ensures that the administrative structures and processes relevant to recruitment and admissions for the Program are in place for a successful launch of the Diploma Program. The successful candidate understands, appreciates, and compellingly articulates the role of a Catholic approach to the Liberal Arts in the context of a major public research university.

Responsibilities/Activities

Recruitment:

  • Build and maintain relationships with external stakeholders (e.g., prospective students, parents, schools, guidance counsellors, principals, school boards, parishes) in order to recruit students to the SJC Diploma in Liberal Arts. Advocate for all SJC programming to a variety of prospective students and/or community members.
  • Implement recruitment strategy by recommending and executing tactical recruitment plans: inform VPAD Office of part-time personnel needs; determine specific times, events, and contexts that are likely to recruit qualified students for the Diploma.
  • Organize and lead the execution of recruitment events on and off campus with decision-making authority over clearly-defined budgeting parameters.
  • Serve as the first point of contact for Program inquiries, utilizing CRM for building engagement with prospective students.
  • Conduct data analysis to inform recruitment strategies and plans. Identify possible improvements in recruitment strategy and communicate to VPAD Office.

Admissions:

  • Work collaboratively with VPAD Office team members in developing admissions procedures in line with existing Admissions policies.
  • Manage online applications for admission using SIS system.
  • Advise prospective applicants on program, admissions requirements, finances and educational pathways and career goals.
  • Track and assist applicants through the application process.
  • Analyze and prepare applications for review, ensuring accuracy and completeness of materials.
  • Communicate admissions decisions to applicants.
  • Identify and implement improvements to admissions procedures.

General:

  • Keep abreast and trained on relevant technology needed in support of recruitment and admissions for the Diploma program.
  • Other tasks as assigned within the VPAD office.

Minimum Qualifications

  • A post-secondary degree (B.A., B.Ed, M.A. or M.Ed) in a relevant discipline. Degree in Liberal Arts is an asset.
  • Valid driver’s license and use of personal vehicle for recruitment activities.
  • Recruitment, admissions, outreach and/or marketing experience. Experience in a post-secondary context is an asset.
  • Excellent ability to connect with prospective students, their parents, and other stakeholders. Strong public speaking and presentation skills to a variety of audiences is required.
  • Excellent computer skills within the domain of the MS Office suite, Google suite, and the ability to learn the SIS/CRM system, Populi.
  • High attention to detail and accuracy.
  • Excellent written and communication skills.
  • Strong planning and organizational skills.
  • Ability to develop creative solutions to complex issues.
  • Effective analytical skills, with an ability to assess data, trends and make recommendations accordingly.
  • Ability to multi-task.
  • Ability to work independently and collaboratively as required.
  • Strong focus on recruitment success.
